As the preferred agency for the second consecutive year, we were tasked to orchestrate and deliver an unforgettable event for a substantial gathering of 850 participants. Our mission went beyond just organizing the Canalys Forum – it was to curate a memorable experience that would foster meaningful learning and encourage impactful collaboration, while leaving a truly lasting impression.  

Given its scale, the event required meticulous planning and flawless coordination to ensure its smooth execution. From facilitating seamless hotel check-ins and registration, to organizing insightful plenary sessions and engaging leisure activities, every detail was to be carefully calculated and considered to ensure a cohesive event journey for all participants.  

Considering that this was our second year planning the event, we were determined to ensure that it not only met the expectations of the Canalys team but exceeded them in every way – and that is how the idea of a complementary festival came to mind.

To inspire attendees to ideate, network and share knowledge at the Canalys Forum, we chose a stunning offshore venue in Bali that was well-equipped and capable of hosting large-scale events both indoors and outdoors. The agenda featured a dynamic main plenary session, brought to life by innovative stage designs tailored for keynotes, presentations, and panel discussions. For this, a Singaporean AV partner team was specially flown in to ensure precise production of the main conference. Breakout sessions were also seamlessly integrated for more segmented and focused discussions, as well as sharing amongst the participants.  

Furthermore, by drawing inspiration from Bali’s vibrant culture and tranquil landscapes, we sought to embrace its natural beauty and traditions to promote wellness and foster connections. This was done through the introduction of morning yoga sessions and scenic runs to help the participants start their day on a positive note while bonding in a relaxed and natural setting. Finally, serving as the main highlight of the overall event and infused with a cultural touch, the Canalys Festival was brought to life through live music, dance, and interactive entertainment.  

Behind the scenes, our team expertly managed on-site registration and event logistics through advanced systems. We also coordinated sponsor meetings and meticulously handled every aspect of the Canalys forum including wayfinding to help guests navigate the expansive space.  

Precise timekeeping was paramount, and this was achieved through careful preparations, multiple rehearsals, and rigorous checks to ensure a seamless and timely execution of all event elements.  One of the finer details included a drum procession leading the crowd towards the beach venue to ensure the space was well utilised. All of this, combined with swift onsite problem-solving, culminated in an experience that exceeded expectations, leaving both the client and their guests more than satisfied.

While the Canalys Forum was a resounding success, the Canalys Festival in particular was the highlight that truly elevated the overall experience, as it injected a dynamic atmosphere that was key in both tying everything together and making the entire event memorable. With everyone having thoroughly enjoyed the festival, the hired band was even extended for an additional set that lasted an entire hour.

By meticulously managing every detail, especially in terms of creativity and time-management, we successfully created a cohesive experience that was guaranteed to leave a lasting impression. Our commitment to excellence and attention to detail ensured that the event surpassed initial expectations, solidifying our reputation as a trusted partner for delivering top-tier events.
